The LATE/CANCELLED/ MISSED APPOINTMENT policy: A necessary evil

At Joy by Sophie, I understand that sometimes life gets in the way. However, to respect everyone's time, here’s how I handle late arrivals, missed or cancelled appointments:

If You’re Running Late:

Please message me via WhatsApp on the clinic number as soon as you know. This is the quickest and most reliable way to reach me. You can do so by clicking this link

  • If you're under 10 minutes late, I’ll do my best to still see you, though your treatment time may be adjusted depending on the rest of the day’s schedule. If you are a nervous patient, it is likely we will be unable to carry out the treatment. 

  • If you’re more than 10 minutes late, your appointment may need to be cancelled and the following may apply:

Fees for Late Arrival or Missed Appointments:

  • If we’re unable to go ahead with your appointment due to lateness, you will be charged the full cost of the appointment. A fee (see below) will be taken off the cost of the appointment and any prescription charges, costs relating to unused product’s will remain on your file to apply to future appointments. 

  • If you are late, or do not attend an appointment and fail to let me know, a £25 late cancellation fee for appointments 30 minutes or less, or £50 for 30 minutes and above

  • If you are a member, you will need to pay the late cancellation fee as above and rebook your membership appointment once this has been paid

Cancelled Appointments

  • If you need to cancel your appointment, please give at least 48 hours’ notice so I can offer the space to someone else.

  • Cancellations made with less than 48 hours’ notice will be treated the same as a missed appointment and the relevant fee will apply (as above).

  • If you cancel with more than 48 hours’ notice, there will be no charge, and we can reschedule your appointment at your convenience.

These terms apply to everyone who comes to Joy by Sophie and are not personal. I will always treat patients with grace and understanding, however this policy acts a way to safeguard my business (and my income) - so I can continue to deliver the best service to all my wonderful patients!
